What do AI consulting services actually involve?

Three stages. Finding the work worth automating, which means looking at where your team actually spends time rather than starting from what a tool can do. Building it, scoped to your real process and tested against real cases. And running it, because an automation is a piece of live infrastructure that breaks when the systems around it change.

The first stage is the one most often skipped and the one that decides whether the project pays. Automating a task that happens twice a month saves nothing. The value is almost always concentrated in two or three things somebody does every single day without thinking about it.

How do you decide what is worth automating?

We look for work that is frequent, rule-based and low-judgement. Chasing a quote that went quiet. Copying details from an email into a system. Answering the same question at eleven at night. Requesting a review after a job closes.

What we leave alone is anything where being wrong is expensive and a human would catch it. Pricing decisions, difficult customer conversations, anything with legal or safety weight. The businesses that get burned by AI are usually the ones that automated judgement rather than repetition.

Will this replace people on my team?

Usually not, and we would be cautious of anyone promising it will. What it reliably does is take the work nobody wanted, which is the administrative residue that fills the gaps between real work and stops your team doing the thing you hired them for.

For most small businesses the honest framing is capacity rather than headcount. You handle more without adding a person, and the people you have spend more of the day on work that needs them.

What happens when it gets something wrong?

It will, occasionally, so the design assumes it. Anything customer-facing has a review step or a confidence threshold that hands off to a person. Anything that writes to your systems is logged and reversible. And every automation has an off switch you control.

Ask this of anyone selling you AI. A confident answer about accuracy is less useful than a clear account of what happens on the day it is wrong.

How is this different from buying an AI tool?

A tool gives you capability and leaves the work of applying it to you. Most sit unused within a quarter, not because they are bad but because nobody had time to work out where they fit.

Consulting is the fitting. We work out what should change, build it into how you already operate, and stay responsible for it afterwards. If a licence would genuinely solve your problem, we will tell you to buy the licence.

What does it cost, and how long does it take?

Most engagements start with a short paid discovery, because scoping properly is worth more than a free proposal built on guesses. From there, a first automation is typically weeks rather than months, and we deliberately start narrow.

Starting small is not caution for its own sake. It gets something into daily use quickly, which is the only reliable way to learn whether the design survives contact with how your business actually runs.
